# Social media handover

Church: ______________________________
Volunteer handing over: ______________________________
Started serving: ____________ Last day: ____________
Filled in on: ____________ Received by: ______________________________

Fill this in during week four of serving, not during the last week of serving.
Update it at every quarterly access review. Ten minutes each time. The version
that gets written the week somebody quits is always the thin one.

---

## 1. What I could get into

One row per asset. Write the level the platform itself calls it, not "admin".

| Asset | Where it lives | My level | Who else has it | Who holds the top level |
| --- | --- | --- | --- | --- |
| Facebook Page | | | | |
| Instagram | | | | |
| YouTube channel | | | | |
| Photo library | | | | |
| Scheduler seat | | | | |
| Password vault collection | | | | |
| Anything else | | | | |

## 2. What I never had, and should never have had

List it anyway. The next person will ask, and the answer stops the question
turning into a request.

-
-
-

## 3. Where the pictures are

Folder path or shared drive name: ______________________________
Naming pattern in use: ______________________________
Oldest month still in the library: ____________
Anything in here that must not be published: ______________________________

## 4. The consent list

Where it lives: ______________________________
Who maintains it: ______________________________
Last time it was checked against the current membership: ____________
Names added while I served: ____________
Names withdrawn while I served, and the date each one withdrew:

-
-

Any photo already published that a family later asked about:

-

## 5. What is in flight right now

Scheduled and not yet published (platform, date, one line of content):

-
-
-

Drafts saved but not scheduled:

-
-

Messages or comments waiting for an answer that I have not answered:

-
-

## 6. The three things that will break first

Be specific. "The login" is not an answer. "The Instagram two-factor code goes
to the phone number of a volunteer who moved to Ohio" is an answer.

1.
2.
3.

## 7. Standing commitments the next person inherits

| What | When | Who it goes to |
| --- | --- | --- |
| The one number, read and reported | | |
| Rewrite the pinned post | | |
| Quarterly access review | | |
| Anything seasonal | | |

## 8. People outside the church I dealt with

Photographers, a member who owns the graphics account, a company that runs the
church website, anyone who has ever been sent a login.

| Name | What they touched | Do they still have access |
| --- | --- | --- |
| | | |
| | | |

## 9. What I would change

Two or three sentences, written for the next volunteer rather than for the
elders. This is the only section nobody else can write.

## 10. Removal checklist, done by staff, not by the volunteer

Signed off the same week the volunteer stops serving. A name left on an account
for six months is the failure this document exists to prevent.

- [ ] Facebook Page: task access removed. Confirmed by opening the access list
and reading the names out loud.
- [ ] Instagram: removed from the business portfolio.
- [ ] YouTube: channel permission removed.
- [ ] Photo library: membership removed. Files they created stay with the drive
rather than with the person, which is the reason a shared drive is used
      instead of a personal folder.
- [ ] Scheduler: seat removed or reassigned. Check whether the plan bills per
seat before you delete rather than reassign.
- [ ] Password vault: removed from the shared collection.
- [ ] Every credential that was in that collection and cannot be permission
controlled: rotated, not merely noted. A password that was shared and not
      rotated is still shared.
- [ ] Two-factor recovery: any phone number or backup code set belonging to the
departing volunteer replaced with the church's own.
- [ ] Handover document read end to end by the person taking over, with the
      outgoing volunteer in the room.

Signed, outgoing volunteer: ______________________________ Date: ____________
